About UFAZ

UFAZ was initiated by the Presidents of the French Republic and the Republic of Azerbaijan. Since September 2016, directed by the University of Strasbourg and by the Azerbaijan State Oil and Industry University, in close partnership with the Ministry of Education of Azerbaijan, UFAZ undertakes the delocalization of 4 specialties at bachelor level in the fields of science and engineering. Students are delivered a French and an Azerbaijani diploma.

Vacant Position: Director Office Assistant

Job requirements:

  • Higher education
  • At least 2 years of work experience in the relevant field
  • Fluency in Azerbaijani, Russian and English.
  • Experience working with preparing formal letters in Azerbaijani and English
  • Proficiency with computing software such as Word, Excel, and Outlook
  • Willingness to learn and take on new tasks as needed
  • Ability to plan and organize work
  • Presentation skills and attention to details
  • Tact, discretion and respect for confidentiality
  • Ability to build and maintain excellent working relationships with staff at all organizational levels;
  • Ability to work under pressure and meet the tough deadline

Responsibilities:

  • Maintain and provide a support service for the Director’s daily schedule, including forward planning of his workload, diary management and coordinating and collating all relevant paperwork (translation, coordination.)
  • File and retrieve corporate documents, reports and official letters
  • Planning, coordinating and scheduling of meetings and conferences to be held by the Director;
  • Recording weekly minutes of meeting and sharing it with concerned employees
  • Organizing travel and accommodation for the management board and to external guest upon request
  • Dealing with telephone and email enquiries, using an email system (e.g. Outlook)
  • To use variety of software packages (including Excel, Word, PowerPoint) to manage data and produce documents and presentations
  • Liaise with staff in other departments and with external contacts

Assisting in the development and implementation of a variety of special events, indoor and outdoor activities
